We believe this Privacy Policy is a best practice to maintain transparency and trust with our website visitors and clients, and it just so happens that this complies with the laws of many countries around the world, too.
Why We Collect Personal and Assessment Information
We collect as little information from you as possible for the specific and identifiable purpose of delivering leadership development services. This may include biometric and psychological data used to enhance your coaching experience (such as sleep scores, HRV, resilience scores, and assessment-based summaries). We do not use this data for medical treatment or diagnosis.
What Personal and Biometric Information We Collect
Personal information includes any information that identifies you. In addition, we may collect biometric or psychological indicators that are self-reported or collected through third-party tools you opt into, including but not limited to:
Sleep, activity, and HRV scores (e.g., via Oura Ring)
Resilience and executive function scores (e.g., via Total Brain)
Boundary strength and values alignment (e.g., via the Strategic Inventory)
Self-assessment or reflection tools used during coaching
This data is always collected with your explicit consent.
How We Collect Personal Information
We collect information only by lawful and fair means. Wherever possible we collect your personal information directly from you. We collect this information to (i) deliver products and services you have purchased from us, (ii) to notify you about our product or service offerings that you may be interested in, so long as you have given us consent to do so, and (iii) to keep track of visitor information and for advertising purposes.
We may also collect biometric or assessment data that you voluntarily submit through our platform or coaching sessions, including Total Brain, Oura, or digital intake forms. This data is used strictly to support your growth and is not used for any diagnostic or medical purpose.
Handling of Biometric and Assessment Data
TLC uses self-reported and third-party tools (such as Total Brain and Oura) to gather insights into client well-being, focus, resilience, and boundaries. These tools may capture biometric data such as heart rate variability or psychological reflection responses. All such data is:
Optional and shared only with your consent
Accessible only to your coach and select operational staff
Stored securely in encrypted or access-restricted platforms
Used exclusively for leadership development—not clinical or medical purposes
Clients may request deletion or correction of this data at any time.
Contact form
When you submit a request through our contact form, we collect your name, email address, and any personal information you send through the form. Contact forms may also not be the most secure way to send confidential and sensitive information. You may wish to share said information once you have been personally contacted by a coach or member of the TLC leadership team.
Third Party Service Providers
We collect information from you directly and indirectly through third-party services, where their privacy policies apply as follows:
Google Analytics: Specifically, Google Analytics collects data about visitors to the Site via Google advertising cookies and anonymous identifiers, in addition to other data which may be collected through a standard Google Analytics implementation. We do not merge personally-identifiable information with non-personally identifiable information collected through any Google advertising product or feature. Should you wish to opt out of any Google Analytics Advertising features, you are encouraged to change your Ad Settings and Ad Setting for mobile apps, through the NAI’s consumer opt-out, or by using any of the other opt-out options currently available: currently available opt-outs.
Cookies
Cookies are small text files placed on your computer to collect information about the pages you view and your activities on the site. Who we share your data with
TLC will disclose your personal information only when necessary to provide services, programs, or products to you or when necessary to work with third parties like lawyers or collection agencies to enforce these terms or any other terms between you and the Company. We may also disclose your information when we are otherwise legally required to do so.
How long we retain your data
Data is stored for up to two years with our Squarespace host. Prior to that date, when TLC no longer has a legitimate business need to process your personal data or at your request, we either delete your personal data or render it impossible to use to identify you. If we cannot delete or de-identify your personal data, then we will archive and protect it from any further use until deletion or de-identification is possible.
How we protect your data
We make our best efforts to ensure the security of your information using industry standards and reasonable methods. We endeavor to maintain and safeguard personal information using methods appropriate to the sensitivity of the information.
We do not sell or share email lists for use by third parties.
We treat biometric and assessment data as sensitive information and store it using platforms with robust security protocols. Only trained TLC staff and authorized coaches have access to such data, and all are bound by confidentiality agreements.
Client Data Confidentiality and Handling Policy
TLC works with sensitive client information, including biometric indicators (such as heart rate variability, sleep, resilience, and activity scores) and psychological assessments (including Strategic Inventories, Total Brain profiles, and other self-reported evaluations). While TLC is not a healthcare provider or covered entity under HIPAA, we uphold a high standard of ethical responsibility in safeguarding this data.
TLC coaches, staff, and contractors are required to adhere to the following data handling principles:
Data Minimization: We collect only what is relevant and necessary for the client’s leadership development journey.
Informed Consent: Clients are informed of what data is being collected, how it is used, and who will have access to it.
Confidentiality: Coaching data is shared only with authorized personnel on a need-to-know basis.
Secure Storage: All biometric and assessment data is stored in password-protected systems with encryption where possible (e.g., Google Drive, Total Brain portal, secure Notion databases).
Non-Diagnostic Use: Assessment data is used for reflection, insight, and coaching—not for clinical diagnosis.
Data Retention: Strategic Inventory and biometric summaries are retained for up to two years unless the client requests early deletion.
TLC reserves the right to update this policy as technologies or legal requirements evolve. Coaches are trained in ethical data use and must complete confidentiality onboarding through TLC University.
Your Rights to Your Information
You own your personal information and have rights to it. You have the right to request a correction of the personal information that we hold about you. We rely on you to provide us with accurate and up-to-date personal and business contact information. If during our professional relationship, any of your information changes, please inform us so that we can make any necessary changes.
Impact of Opting Out
If you choose to opt out of some or all of our data processing activities, you may experience limitations in your ability to access or use certain features of our website or services. This is because some features may rely on data processing to function properly.
Compliance
We make commercially reasonable efforts to work with data controllers (like our email provider) who guarantee compliance with privacy laws like the European Union’s General Data Protection Regulation.
